This Privacy Notice for Queens Rugby Association Inc. (“we,” ”us,” or “our”), describes how and why we might access collect, store, use, and/or share(“process”) your personal information when you use our services(“Services”), including when you:

  • Engage with us in other related ways, including any sales, marketing, or events

Questions or concerns? Reading this Privacy Notice will help you understand your privacy rights and choices. We are responsible for making decisions about how your personal information is processed. What personal information do we process? We are not gathers of personal information; we only receive personal information provided by the users themselves. As of this document’s latest update, the only personal information we process is Name, Phone Number, and Email Address. We do not collect any protected classification characteristics (Gender, age, race and ethnicity, national origin, etc.), commercial information (purchase history, financial details, payment information, etc.), biometric information, internet activity, geolocation data, education information, professional or employment related information, sensitive personal information, or make inferences from the collected information (i.e. creating a profile or summary based on collected data).

Do we process any sensitive personal information? No, we do not process any sensitive personal information, unless you give it to us for some reason. We really don’t want it though.

Do we collect any information from third parties? No, we only collect information from the user themselves. 

How do we process your information? We process your information to provide notifications about upcoming events, inform you of recent activities regarding Queens Rugby (i.e. newsletters), and to include you in future discussions regarding club activities such as through our WhatsApp groups.

In what situations and with which parties do we share personal information? We don’t share your personal information outside of the organization. When you trust us with your personal information, we keep that to ourselves.

How long do we keep your information? We clean our information on an annual basis and will only keep your information as long as it is relevant. In essence, if you leave the club or ghost the team, we will likely remove your information within a year. If you remain active with the club, then we will retain your information until you either request we remove it or leave the club.

How do we keep your information safe? We have organizational and technical processes in place to protect your personal information. However, nothing is 100% safe or effective at ensuring data security and we cannot guarantee that hackers, cybercriminals, state actors, or other unauthorized third parties will not be able to improperly collect, access, steal, or modify your information.

Do we collect information from minors? We do not knowingly collect data from children under 18 years of age. By providing us with information, you represent that you are at least 18 and able to legally share that information without the consent of a parent or guardian. This is a men’s senior rugby club, we can’t have children playing on our team anyhow. If you become aware of any data we have collected from children under age 18, please contact us at queensrugbyclub@gmail.com and we will promptly delete the data from our records.

What are your rights? Depending on where you are located geographically, the applicable privacy law may mean you have certain rights regarding personal information.

How do you exercise your rights? The easiest way to exercise your rights is to submit a data subject access request by emailing queensrugbyclub@gmail.com with your request. We will consider and act upon any request in accordance with applicable data protection laws. You may withdraw consent at any time by replying “STOP” or “UNSUBSCRIBE” to any SMS message you receive or by notifying us by email (queensrugbyclub@gmail.com).
